General Statement of Duties: 

The Test Scheduling Coordinator I represents the link between the Physician visit and a test, injection, or follow-up appointment. The Coordinator schedules provider ordered tests and injections and manages the test scheduling worklist and task list in the electronic medical record software. The Coordinator provides support for insurance authorizations as needed

Essential Duites:

  1. Answers telephone calls and responds to related patient needs. Responsible for scheduling patient tests and injection procedures. Accountable for managing test scheduling worklist and task messages in EMR. Prioritizes ‘we call patient’ and ‘patient to calls us’ work list to ensure timely scheduling of test. Responsible for internal and external referrals, including; test orders from OrthoIndy Physicians, online appointment request, and non-OrthoIndy physicians. Monitors test scheduling templates in practice management program to minimize gaps or delays in the schedule.
  2. Serves as the liaison between the ordering provider, patient, and medical test facility.
  3. Responsible for communicating time, date, and location of a test to the patient or patient representative. Responsible for scheduling follow-up appointments per instructions on test orders.
  4. Calls insurance companies to precertify and verify patient benefits as instructed by Senior Test Scheduler or management.
  5. Maintains accurate records or statistics of weekly test totals as requested by management.
  6. Ensures outside facilities receive test orders via fax.
  7. Responds to test or procedure related questions from patient or patient representative. Obtains approval from ordering provider if test order needs amendments.
  8. Completes test scheduling screener for all patients. Ensures patient awareness of any special requirements prior to test procedures.
  9. Obtains CPT and Diagnosis codes from Physician, when missing or incomplete. Provides data collection and data entry.

Job Requirements

Requirements:

  • High School Diploma or GED required; specialty training beyond High School preferred 
  • 2-4 years of medical office experience or a call center environment required; 4-6 years preferred
