Job Summary:

The Spine Surgery Scheduling and Authorization Specialist serves as the main point of contact for assigned Physicians regarding surgery scheduling and insurance authorizations. The Specialist verifies and obtains insurance authorization and referrals prior to patient services and procedures. The Specialist establishes a patient friendly system to primarily facilitate communication between patient and OrthoIndy.

Essential Duties:

  1. Serves as main point of contact for assigned providers, OrthoIndy Hospital facility scheduling and outside facilities when scheduling surgery. Communicates with the facility in which the procedure will be performed as needed. Schedules and completes insurance precertification for all procedures for assigned providers. Organizes appropriate coordination with other hospital departments when special surgical needs occur.
  2. Verifies active insurance status and network information for each patient. Submits required information to insurance companies for precertification and authorization. Annotates steps completed on surgery orders in electronic medical record. Confirms receipt of all necessary preauthorization documents prior to procedures. Takes necessary steps to correct or cancel procedure if preauthorization information is missing or incorrect.
  3. Responds to calls, emails, complaints, and queries that patients might have about surgery scheduling process. Provides information and updates in regards to patient surgery schedules. Schedules post-surgical appointments with surgeons, Physical Therapy department or private staff during the surgery scheduling process to ensure coordination of care.
  4. Coordinates and prepares the patient for surgery, including; any necessary preoperative medical clearances, educational sessions, blood donations, equipment, benefits and precertification. Reviews all needed medical records and history from patients to ensure PAT trigger questions are answered appropriately. Takes reservations for surgeries and schedules a date based on the availability of the surgeon and the medical condition of patients. Informs patients and any involved third party about “things to do” before and after surgeries. Follows surgeon instructions to coordinate special equipment needs for each patient.
  5. Documents precertification numbers and information in EMR and practice management program. Saves all precertification documents in practice management program for future reference. Checks insurance payment policy for scheduled procedure to ensure patient is aware of coverage limitations.
  6. Supplies self-pay patients with written or verbal estimates of surgical codes and fees upon request. Instructs self-pay patients on surgery estimates and pre-payment protocol.
  7. Pre-operatively notifies ordering surgeon if insurance authorization does not include all CPT codes submitted. Takes appropriate steps to verify ordering surgeon received the notification.
  8. Responsible for communicating time, date, and location of surgery to the patient and patient representative. Responsible for communicating time, date, and location of surgery to the patient and patient representative.

Job Requirements


  • High School Diploma or GED required; Specialty Training Beyond High School Preferred
  • 2-4 years of medical office experience required; 4-6 years preferred
