General Statement of Duties: 

The Spine Physiatry Flex is responsible for providing coverage and support for spine physiatry scheduling coordinator, medication coordinator, physiatry
triage coordinator, and spine triage coordinator positions. The Float position will work with co-workers and department management to identify coverage
needs and make adjustments as necessary to ensure service levels are met for the department on continuous bases.

Essential Duties:

  1. Serves as main point of contact for Spine Physicians, private staff, and extenders. Manages inbound calls related to medical concerns, medication
    concerns, medication refill requests, test results/requests, and general task messages. Monitors and schedules outbound referrals/worklist. Promptly follows-up on messages left on queue or private voicemail. Responsible for gathering complete and appropriate medical information to assist the medical staff with patient care. Eliminates unnecessary return calls/task on the part of the medical staff by following detailed protocol in collecting initial information from patients. Documents patient information/concerns in EMR. Follows established triage protocols (call, page, high priority task, or routine task) for each provider to determine appropriate steps to address patient concerns. Returns patient calls in a timely manner. Monitors task messages in EMR to prioritize task and ensures patient concerns are addressed in a timely manner. Supports Spine Physicians and patients with medication concerns. Identifies medications frequently ordered by Physicians and calls in or mails medications as approved by Physician to the pharmacy. Assists patients with medication refill requests. Verifies if test results, labs, medical files, and dictation are available in EMR. Obtains results as needed to ensure efficient management of patient care for everyone involved. Monitors Spine Physiatry queues and provides appointment scheduling support as needed. Assists with schedule maintenance for assigned Spine Physicians including assisting with rescheduling canceled clinics.
  2. Maintains appointment scheduling for Spine Surgeons and Physiatrists. Answers all inbound calls to schedule appointments. Verifies insurance
    networks before scheduling appointments and obtains office visit referrals for all new patients if required by insurance. Monitors and audits Physician schedules to maximize Physician productivity and ensures appropriateness of appointments scheduled. Maintains cancellations list and evaluates opportunities to adjust Physician schedules minimize scheduling gaps or inefficiencies. Monitors and processes all voice messages, queue and private line. Monitors and processes Physician request to cancel clinics. Ensures clinics are canceled and rescheduled within 24 hours of notification. Coordinates with the research team to ensure prompt and accurate scheduling of research patients.
  3. Serves as main point of contact for Physiatry Physicians, private staff, and extenders. Manages inbound calls related to medical concerns,
    medication concerns, medication refill requests, test results/requests, general task messages, voicemail, post-injection scores. Monitors and schedules outbound referrals/worklist. Responsible for gathering complete and appropriate medical information to assist the medical staff with patient care. Eliminates unnecessary return calls/task on the part of the medical staff by following detailed protocol in collecting initial information from patients. Documents patient information/concerns in EMR. Follows established triage protocols (call, page, high priority task, or routine task) for each provider to determine appropriate steps to address patient concerns. Returns patient calls in a timely manner providing outstanding customer service. Monitors task messages in EMR to prioritize task and ensure patient concerns are addressed in a timely manner. Verifies if test results, labs, medical files, and dictation are available in EMR. Obtains results as needed to ensure efficient management of patient care for everyone involved. Monitors Physiatry queues and provide appointment scheduling support as needed. Assists with schedule maintenance for assigned Physiatry Physicians including assisting with rescheduling canceled clinics.
  4. Serves as main point of contact for Physicians, private staff, and extenders for established patient voicemail and online medication refill requests. Reviews and documents voicemail and online medication refill requests each morning and afternoon including checking messages left on the refill line or auto generated refill emails from OrthoIndy website. Follows established protocols to process requests and obtain approval from physician. Requirements include chart triage, generating inspect reports and reporting concerns to assigned Physician, documenting noted steps in EMR. Supports EMR task message management, primarily related to medication refill requests. Coordinates other duties with Patient Service Coordinator teams to ensure take management is accurate and timely. Follows established protocols to process requests and obtain approval from physician. Requirements include chart triage, generate inspect report and report concerns to supervising physician, document noted steps in EMR. Obtains insurance prior authorization for mediation refills, including submitting necessary clinical records to support the medical necessity for the medication. Maintains a detailed understanding of failed conservative treatment and current diagnosis. Manages medication logs to ensure appropriate documentation and management of prescription orders. Coordinates and schedules appointments if required prior to medication refill.

Job Requirements

Requirements:

  • Specialty training beyond High School required; Associate's degree in a related field preferred. 
  • CNA license, MA certification, or LPN license preferred
  • 2-4 years of experience required; 4-6 years of experience preferred. 
  • Minimum one year experience within OrthoIndy Support Services Department required.
