Job Summary:

The Injection Schedule Coordinator is the link between the ordering Physician and the patient to ensure coordination of services provided. The Coordinator is responsible for insurance verification and authorization of any necessary procedures. The Coordinator inputs required information into the appropriate systems and contacts all parties.

Essential Duties:

  1. Responsible for scheduling patient procedures performed by OrthoIndy and OrthoIndy Hospital Physiatrist and Anesthesiologist. Responsible for internal and external referrals, including; procedure orders from OrthoIndy Physicians and non-OrthoIndy Physicians. Monitors scheduling templates in practice management program to streamline Physician schedules. Answers telephone calls and assists patients by responding to related needs.
  2. Coordinates and prepares the patient for procedure, including; any necessary preoperative medical clearances and equipment. Takes reservations for procedures and schedules a date based on the availability of the provider.
  3. Verifies active insurance status and network information for each patient. Submits required information to insurance companies for precertification and authorization. Annotates steps completed on injection/procedure orders in electronic medical record. Confirms receipt of all necessary preauthorization documents prior to procedures. Takes necessary steps to correct or cancel procedure if preauthorization information is missing or incorrect.
  4. Serves as the liaison between the ordering provider, patient, and medical facility. Assists with data collection and data entry.
  5. Responsible for communicating time, date, and location of an injection/procedure to the patient. Responsible for scheduling patient follow-up appointments per orders or Physician protocol.
  6. Obtains CPT and diagnosis codes from Physicians, when missing or incomplete. Responds to procedure related questions to patient or patient representative. Obtains approval from ordering provider if order needs amendments.
  7. Ensures patient is aware of any special requirements prior to injection procedures.
  8. Assists with process flow between all areas of Support Services Department and other related departments.

Job Requirements


  • High School Diploma or GED required; Specialty Training Beyond High School Preferred
  • 2-4 years of medical office experience required; 4-6 years preferred
