General Statement of Duties: 

The Facility Scheduler makes and schedules surgical and procedure appointments per Physician schedules and direction. The position books, coordinates, and reschedules appointments working within set parameters of the OrthoIndy Hospital Department, and communicates with necessary staff as needed.

Essential Duties:

  1. Books, coordinates, and reschedules surgical and procedure appointments per Physician schedules and direction and per block release parameters. Utilizes tools, resources, techniques, and systems to organize tasks. Takes call after hours for scheduling related requests.
  2. Maintains communication with necessary staff in relation to the coordination of surgical and procedure appointments and updates. Maintains notification to all departments of add-ons, changes, and cancellations. Tracks patient bed openings to facilitate patient placement post procedure.
  3. Responsible for checking to ensure that all equipment requested is available for use in the operating room prior to booking a procedure.
  4. Responds to telephone and screen calls, takes messages, and provides information related to surgical appointments. Updates administrative call schedule.
  5. Maintains and updates current information of Physician’s surgery schedules. Responsible for comparing Physician schedules to ensure a match to the EMR operating room scheduler.
  6. Answers staff questions regarding surgical and procedure appointment, specifically regarding Physician’s operating room schedules.
  7. Types surgical procedure per physician order on all patient consents and forwards to pre-operative area in anticipation of patient arrival for procedure.

Job Requirements


  • High School Diplomas or GED required; specialty training beyond high school preferred  
  • 1-2 years of facility or patient scheduling experience required; 2-4 years preferred
